1. What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include:

  • Names
  • Phone numbers
  • Email addresses
  • Mailing addresses
  • Usernames
  • Passwords
  • Contact or authentication data
  • Billing addresses
  • Debit/credit card numbers
  • Commercial driver and vehicle records, including CDL numbers, medical examiner certificates, DOT numbers, MC numbers, vehicle identification numbers (VINs), inspection records, drug and alcohol testing records, and related FMCSA compliance documentation

Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:

  • Health data (DOT medical examiner certificates and related records)
  • Financial data
  • Credit worthiness data

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and the security code associated with your payment instrument. Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:

  • Geolocation Information.We may request access or permission to track location-based information from your mobile device while you are using our mobile application, to provide certain location-based services such as finding nearby truck stops. Your GPS coordinates and any addresses you enter may be shared with our third-party mapping provider (Google Maps Platform) to find nearby truck stops and to look up and verify addresses. If you wish to change our access or permissions, you may do so in your device's settings.
  • Mobile Device Access.We may request access or permission to certain features from your mobile device, including your mobile device's camera, storage, bluetooth, and other features. If you wish to change our access or permissions, you may do so in your device's settings.
  • Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model, Internet service provider and/or mobile carrier, and Internet Protocol (IP) address.
  • Push Notifications.We may request to send you push notifications regarding your account or certain features of the application. If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

The information we collect includes:

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services, including IP address, device information, browser type and settings, and information about your activity in the Services.
  • Device Data. Information about your computer, phone, tablet, or other device used to access the Services, including IP address, device and application identification numbers, location, browser type, hardware model, operating system, and system configuration information.
  • Location Data.Information about your device's location, which can be either precise or imprecise. You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your Location setting on your device.
  • Business and compliance calculations. Metrics and estimates calculated from user-submitted operational data, including IFTA tax calculations, estimated federal and self-employment tax liabilities, fleet efficiency metrics such as MPG and cost-per-mile, and compliance readiness scores.
  • AI assistant interaction data. Prompts, responses, and usage patterns generated through in-app AI-powered features, which may be processed by third-party AI service providers.

Information collected from other sources

In Short: We may collect limited data from public databases, authorized integrations, and other outside sources.

In order to enhance our ability to provide relevant services to you and update our records, we may obtain information about you from other sources, such as public databases, authorized integrations you connect to your account (such as QuickBooks Online, Stripe, and Clerk). Additional integrations with banking and ELD providers may be added in the future; this policy will be updated to reflect any new third-party data sources before they are activated. We also obtain information from public government databases (such as the FMCSA SAFER system).

2. How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
  • To respond to user inquiries and offer support. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
  • To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, and subscriptions made through the Services.
  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
  • To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time.
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
  • To evaluate and improve our Services, products, marketing, and your experience. We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience.
  • To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
  • To comply with our legal obligations. We may process your information to comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.
  • To generate compliance, tax, and operational reports on behalf of users. We use user-submitted operational data to generate IFTA quarterly reports, federal and self-employment tax summaries, DVIR reports, driver qualification files, audit readiness assessments, and related compliance documentation.
  • To process data through AI service providers for in-app assistant features. User inputs to AI-powered features of the Services may be transmitted to third-party AI service providers for processing in order to generate responses, summaries, or recommendations.

3. When and With Whom Do We Share Your Personal Information?

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

5. Do We Offer Artificial Intelligence-Based Products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

Use of AI Technologies

We provide the AI Products through third-party service providers ("AI Service Providers"), including Anthropic. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

Our AI Products

Our AI Products are designed for the following functions:

  • AI bots (in-app AI assistant)
  • AI document generation
  • AI insights
  • Natural language processing
  • Image analysis (including BOL and receipt scanning)

How We Process Your Data Using AI

All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process.

How to Opt Out

We believe in giving you the power to decide how your data is used. To opt out, you can:

  • Log in to your account settings and update your user account
  • Contact us using the contact information provided

6. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We keep your personal information only as long as your account is active. When you delete your account through Settings, your account is immediately disabled and inaccessible to you — you can no longer sign in or use the Services, and your active payment subscription is cancelled at the same time. Your data, however, is retained in our active systems for a 30-day grace period in case you change your mind or initiated the deletion in error. You can cancel the deletion during this window by signing back in and confirming you want to restore your account. After the 30 days end, an automated process permanently removes your data.

Separately, we may permanently delete an account immediately and without a grace period when we determine the account is being used in violation of our Terms of Service (for example, fraud, abuse, or non-payment), or when we are directed to do so by a court order or compliance authority. This admin-initiated deletion does not have a recovery window.

When the permanent deletion runs — whether by you after the 30-day grace or by us immediately for the reasons above — we remove the following from our active systems: your carrier profile, trucks, drivers, loads, fuel entries, expenses, compliance records, trip history, and all uploaded documents (BOLs, receipts, DVIRs, driver qualification files).

Backups containing deleted account data are purged within 30 days of the permanent deletion event. After that point we retain no personal information about you, with three narrow exceptions described below.

First: if we are subject to a legal hold, subpoena, or active investigation at the time of deletion, we may isolate and retain the specific records required to comply with that legal obligation, and only those records, until the obligation ends.

Second: we retain a minimal operational record of account deletion events for up to seven years. This record exists so we can demonstrate compliance with deletion requests and resolve any subsequent disputes. It contains only the deletion timestamp, the internal identifiers we use for your account (a user ID issued by our authentication provider Clerk, and a carrier ID we generate ourselves), the deletion trigger (in-app or external), the deletion outcome (success or a partial failure with the specific system that failed), and, if you had an active subscription, the Stripe subscription identifier we used for billing.

This record does not include your name, email address, business name, DOT or MC numbers, or any of the operational data listed above (loads, fuel entries, drivers, trucks, compliance records, or uploaded documents).

Third: applicable tax and recordkeeping law requires businesses to retain financial records for several years. We therefore retain your invoices and driver settlement records in anonymized formfor the period required by law. "Anonymized" means we strip personally identifying information from these records: your name, email address, business name, billing address, DOT and MC numbers, and any internal contact references are removed or cleared. What remains is the financial information only — invoice and settlement amounts, dates, line items, payment status, and an internal record identifier. After that period, these records are also permanently removed.

Our payment processor (Stripe) retains invoice and payment history under their own retention terms, which support tax reporting and dispute resolution. When your account is deleted, we anonymize your billing identity at Stripe — we replace your name with a placeholder, clear your email, and remove the internal identifiers that link the Stripe record back to you. The Stripe Customer record itself is not deleted, so Stripe's invoice history remains intact for their own tax and dispute purposes. You are responsible for exporting any tax, IFTA, or FMCSA records you need before deleting your account. Rolling Line provides export tools in the app for this purpose. We do not retain operational copies of your records on your behalf after account deletion.

7. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

8. Do We Collect Information from Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at support@rollingline.app.

9. What Are Your Privacy Rights?

In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

Withdrawing your consent

If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details provided in the section "How Can You Contact Us About This Notice?" below.

Opting out of marketing and promotional communications

You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "How Can You Contact Us About This Notice?" below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can:

  • Log in to your account settings and update your user account.
  • Contact us using the contact information provided.

When you delete your account through Settings, your account is immediately disabled. Your data is retained for a 30-day grace period in case you want to recover, then permanently removed from our active systems, and from backups within 30 days of that point. See Section 6 for full details on the grace period, what is deleted, and the narrow exceptions described there.

Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. 10. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice. California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

11. Do United States Residents Have Specific Privacy Rights?

We only collect sensitive personal information, as defined by applicable privacy laws or the purposes allowed by law or with your consent. Sensitive personal information may be used, or disclosed to a service provider or contractor, for additional, specified purposes. You may have the right to limit the use or disclosure of your sensitive personal information. We do not collect or process sensitive personal information for the purpose of inferring characteristics about you.

We retain personal information only while your account is active. When you initiate account deletion, your account is immediately disabled and your data enters a 30-day grace period during which you can recover the account by signing back in. After that, your data is permanently removed from active systems, and from backups within 30 days of that point, except for the narrow exceptions described in Section 6 (legal hold or active investigation, a minimal operational record of the deletion event itself, and anonymized financial records retained for tax and recordkeeping compliance). Will your information be shared with anyone else?We may disclose your personal information with our service providers pursuant to a written contract between us and each service provider. We may use your personal information for our own business purposes, such as for undertaking internal research for technological development and demonstration. This is not considered to be "selling" of your personal information.

We have not sold or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months. You have rights under certain US state data protection laws. However, these rights are not absolute, and in certain cases, we may decline your request as permitted by law. These rights include:

Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request. However, if we cannot verify your identity from the information already maintained by us, we may request that you provide additional information for the purposes of verifying your identity and for security or fraud-prevention purposes.

Appeals

Under certain US state data protection laws, if we decline to take action regarding your request, you may appeal our decision by emailing us at support@rollingline.app. We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decisions. If your appeal is denied, you may submit a complaint to your state attorney general.
